One of the largest installations in Datamax history (1,390 devices!) was moving swiftly into March, and then COVID-19 brought it to an abrupt halt.
When the East Texas team finally got the green light to continue installation at UT Health East Texas in mid-August, they hit the road and haven’t stopped since.
There are many, many players in this effort, in Tyler, in Longview and even in DFW. There are many departments, from admin to logistics to sales to service. The miles logged hauling equipment, the ever-evolving spreadsheets, sales orders, install sheets, add-on machines, COV19-restricted areas at the hospital … the moving parts are also many.
But with 9 days to go, there is a light at the end of the tunnel.
The All-In Team Effort
Training Specialist Kirsti Teague is but one – but one crucial – part of the installation effort. She had just returned from maternity leave when the installation process at UT Health began. As the holder of the master spreadsheet, she says she’s got two babies at the moment.
“That document has turned into my baby,” she says. “Basically, I get information from Michael Snow on where we will go the next day, I will compare it with the spreadsheet, and then I create the install sheets and help them get the paperwork ready to go.”
If the team in the field finds something that wasn’t originally on the install sheets, they’ll text Kirsti, ask her if it’s getting removed, and see if there will be a new add for the printer. If so, Kirsti will get the approval for the new add, create the sales order, and get all the pieces ready moving forward.
The master spreadsheet is updated all day, every day. When changes, questions, or potential updates come into question, all calls point to Kirsti.
“I call her Air Traffic Control,” Project Coordinator Robert Baker said. “She’s the glue that binds this whole project together.”
Robert is the primary contact for UT Health, from end user to executives (clinic managers, department directors, etc.), helping facilitate any issues to be resolved. Other project leaders include Michael Snow (logistics) Justin Harper (Service), VP of Operations Stephen Hampton and Mitzi Lloyd, whose clientCONNECT team also plays an integral role.
Other players include Kody Molloy (delivery and installation), Michael Johnson (installation), Shon Forney (delivery), and the DFW Service Team, who has rotated trips to East Texas to pick up on service calls unrelated to UT Health.
Chris Hoefer, in Longview, has also played a big role in getting machines to the various hospital locations.
“Chris will take 3 copiers and 10 printers in a van to outlying clinics, and do the installation himself,” Justin said. “This wouldn’t be possible without his efforts.”
The Prevailing Results
The job is not done. But with 9 days to go, 160 devices remain. And as the end goal slides closer on everyone’s calendar, Justin credits much of the success to Kirsti’s masterful work of the master spreadsheet.
“It’s her constant availability (early in the morning to late into the night) that helps us adjust on the fly and respond quickly,” Justin said.
