The Business Challenge

"The customer was getting three quotes for a multifunction printer. When I did my initial discovery with the Office Manager and the Accounting Manager, we talked a lot about scanning. I always ask ‘are you scanning to move it on to someone else, or are you scanning to archive?’ At this time, they were not scanning to archive much.  The accounting manager had a small desktop scanner that was connected her to PC and came with capture software that essentially never worked. She was not very trusting of the software. She was concerned about documents filed haphazardly.  I asked more questions.

Essentially the staff that used scanning were touching documents a lot. They scan it, open it, they rename it, they drag and drop. Everyone had a random method of saving them.

The Thought Process

"I said, ‘so if you could scan it right to a destination folder, or to your backend software, that would be a plus?’ She said ‘absolutely.’ Nuance Sharescan has the capability of doing all the steps mentioned above in one motion.  A document can be scanned, named, and filed according to where it needs to go.

Additionally, we created for her (Accounting Manager) a simple barcode. This creates uniformity on how documents scanned: Everything is scanned and named identically. Essentially, when they go to look for documents, they know exactly where to find them. We saved them a lot of time, especially the Accounting Manager."
