Though Beckville ISD had been a long-time client, a few technology challenges they currently faced were directly affecting the classroom experience. As the first day of class creeped forward, it was paramount that Datamax in East Texas provide impactful resolution to these challenges.

It was time to ReCreate a Raving Fan. And that’s exactly what the team did.

The Business Challenge

It was time to upgrade the school district’s fleet as it considered going to bid earlier this month.

But the school was facing a couple of particular technology issues, first with their printers. Students were attempting to print from Chromebooks in the classroom. The printers they were using at the time had to be on a print server, so they were forced to keep a Google session open and active in order to print from the Chrome book to the print server. There were a lot of issues with that. The stability was very poor, sometimes they could print, sometimes they could not.

“It was a constant thorn in their side,” Business Technology Consultant Robert Baker said.

In short, students would have to go to IT to start a Google session to be able to print again.

Additionally, the school had five analog fax lines with lingering issues, forcing them to call their telecom provider out to fix the problem, costing the district $150 every time they came out.

The Thought Process

Business Technology Consultant Robert Baker’s deep understanding of the technology, combined with Account Representative Dillon Driscoll’s attentiveness to the client’s needs, resulted in delivering what mattered most to our client.

The new Canon printers come with Google Cloud Printing as a standard feature that can be configured on the machine itself. It didn’t require them to do anything on their print server whatsoever, so they eliminated the Chromebook issue completely.

Regarding the faxes, the team discussed doing Fax over IP to get away from the analog phone line issues. It just so happens, Canon released the Fax server feature on the imageRUNNER Gen 3 machines. Robert went in and, in-house, set up a hosted fax cloud account to test . It worked well internally, and the district is now equipped to do Fax Over IP if they so choose.

Connectivity Specialist Kelly Hunley also worked closely with the district’s IT department to shore up a process for installing print drivers in a Mac environment. Driscoll says Kelly’s quick, effective work directly with that department really made the relationship even more positive.

“Another positive, something that’s been great since coming on board with Datamax, was a much faster turnaround on delivery,” Driscoll said. “The client asked me if I could have the new printers and copiers to them by a certain time, about a month out, so they could be ready for school starting… I was able to tell them, ‘I’ll be able to have that equipment to you in two weeks.’

“Now we’re able to move at the speed of business, which is great.”

The Prevailing Results

Good old fashioned customer service: Prompt resolution and quick follow up. Everything we were able to do for them, we met, and often beat, their expectations in response and resolution.

When it came time for Beckville ISD to come up for bid again, the school waived the process and decided  to remain with Datamax.
