Insurance companies need access to documents, and they need them fast.

With the guidance and expertise of Renee' Desiderio, a Jacksonville, Ark.-based Insurance firm was able to move from complete clutter to complete order. By utilizing a cloud-based solution, the organization could utilize all the advanced document management tools without the on-premise price tag.

The Business Challenge

“The company had a previous document manage package that was not organized well at all. Basically, they had a huge box that you would put all your documents in, with no rhyme or reason to it,” Rene said. “This group does all the insurance and retirement plans for teachers. Let’s say I’m looking for Renee’s insurance plan. There may be 25 files in this box, and you have to go look around through every single file with Renee’s name on it to find what you need.

Also, the previous solution created a long 25-character file identifier, and every time they scanned in a person’s retirement plan, it was a different file number for every single document.

They said to us “we need to find these documents in a hurry. We meet with these teachers all the time, and we need to be able to access what providers they do or do not have, and what upgrades are needed.”

The Thought Process

"I touched base with them and found out quickly they were having some pain.

By using Laserfiche, we were able to create files for every constituent, separated by folders organized by individual school districts. They liked having the same environment set up: They had a multifunction device, we could scan to a computer, and then the computer sent the information to the software. We were able to replicate that. We didn’t have to change processes, and plus, the learning curve with Laserfiche is very short.

We used a cloud-based solution because what they previously had was cloud based. They had no server, so this was the best alternative and wasn’t cost-prohibitive. They could have all the features and functionality of an on premise solution without the on premise cost."
